Participant Lists


Following is information on how to format your participant lists for importing into the StageClip Producer platform.

  • Participant Lists –
    • Specifications: Spreadsheet in .csv or .xls formatting (Excel file)
    • Lists should be in actual or intended walking order if possible
    • Must include one separate column for the each of the following
      • Name (required)
        • Names can be separated into columns for First/Last, First/Middle/Last, or Full Name
      • Degree or other sub-title (optional, single line, one column on spreadsheet)
        • 90-character limit
      • Second sub-title (optional, single line, one column on spreadsheet)
        • 50-character limit
      • Student ID (optional)
      • Email Address (required) – one per participant
        • There can be no duplicate email addresses. Emails are used as the unique identifier by StageClip, and therefore must all be unique
        • If providing a file with more than one email column, please specify which email address is to be used.
    • Please note that names and subtitles will appear on the clips exactly as they do in the spreadsheet, including spelling and capitalization
    • If you are having a virtual ceremony, participants will appear in the ceremony in the same order they are listed on the Participant List, although you will have the ability to re-order them manually in the Producer platform
    • If you have multiple ceremonies, please be sure to separate your participant lists

MarchingOrder Lists

If you are using MarchingOrder's barcode scanning service at your in-person event, StageClip can use the procession log file as your participant list.  This will give StageClip the graduate names in the correct walking order.  If you have degree titles and/or honors included in the MarchingOrder data, that can also be included on the clips that your graduates receive.  Please note that data will appear on the clips exactly as it does in the MarchingOrder system, including spelling, capitalization, punctuation and spacing.
