Requirements for In-Person Event Clips

Following is a brief overview of the assets needed to create your in-person graduate StageClips.  If you have any questions or concerns, please contact your StageClip representative, or email us at clientsupport@stageclip.com

    Branding
    • University Logo
      • For best results, this should be a PNG file with a transparent background
    • School Colors
      • Hex codes for your primary and secondary school colors
    • Hashtag – encourage your grads to share their clips using the hashtag of your choice

    Participant/Graduate Lists – Download Example

    • List should be in intended walking order if possible
    • Formatted as a CSV or Excel file with separate columns for each of the following
      • Name (required)
        • This can be separated into columns for First/Last, First/Middle/Last, or Full Name
      • Email - (required)
        • There can be no duplicate email addresses.  Emails are used as the unique identifier by StageClip, and therefore must all be unique
      • Subtitle, such as degree title or award name (optional) - 90 character limit
      • Second Subtitle, often used for honors or second degree titles (optional) - 50 character limit
      • Student ID (optional)
    • If you have multiple ceremonies, please separate the lists into individual spreadsheets

    Pre-Roll and/or Closing Video or graphics (Optional)

    • Pre-Roll/Close Video is optional video used for the open and/or close of the individual recognition clips
    • Your pre-roll and/or closing video should be MP4, 1280 x 720 (720p) or 1920 x 1080 (1080p)
    • Graphics such as JPEG or PNG slides can be used at the start or end of your clips.  These must be formatted at 16:9 ratio (1920 x 1080, or 1280 x 720)
    • We recommend pre-roll of approximately 10-15 seconds and closing video of approximately 5 seconds
    • Any editing or production of your open and/or close videos should be done prior to submission. StageClip does not offer video editing services, but rather assembles your clips using basic transitions in our Producer platform
    • You do not need to add music to your pre-roll/close video, as this will be supplied by StageClip.  If you’d like to use your own music track, please submit it as a separate MP3 file, and be sure that any music you provide is not restricted by copyright and is at least 90-120 seconds long
    • All files can be uploaded into the Individual Clip Template section in Producer, where a sample clip can be generated. If you are submitting multiple files to StageClip and are not uploading them directly to Producer on your own, please be sure that they are labeled clearly and include order numbers. (For example: "open-1", "open-2", "close-1", "close-2")  

    Ceremony Footage

    • You can upload your ceremony footage directly into the producer platform, or your AV contact can submit footage on your behalf
    • You can give someone on your team the ability to submit ceremony footage, without allowing access to other areas of your Producer account, by using the "Invite AV User" feature in the "Ceremony Footage" tab in Producer.  For more information, please refer to this article on Submitting Live Event Ceremony Footage.
    • If your ceremony is dual line or split screen, please be sure to submit separate video footage from the Stage Left and Stage Right camera feeds.  We cannot support split screen footage.

    Communications Plan
      • Emails can be sent from the StageClip domain, noreply@mail.stageclip.com, or from your own institutions domain.  Sending from your own domain will mean that emails appear to be coming directly from the school, rather than from StageClip.  In either case, there are a few steps required to coordinate with your IT department and ensure that the emails reach your students.  For instructions, please choose the appropriate article below, based on your preference.
